1. Who we are and what this policy covers

FINE TECH LTD is the controller of personal information collected through this website for enquiries, registration requests, website accounts and marketing subscriptions. This policy also explains the payment information handled by our payment gateway. Our contact details and registered office are above.

This policy covers this website. Where we process student, parent or staff information on behalf of a tuition provider using our software, the provider determines the purposes of that processing and its own privacy notice applies. Please direct requests about those records to the provider; our service agreement governs our processing on its behalf.

2. Information we collect

  • Enquiries: your name, email address, phone number and any message you send us.
  • Registration requests: your name, business name, contact details, business address, country, selected plan and comments.
  • Website accounts: profile and account identifiers provided by your sign-in provider, such as Google, together with session information. We do not receive your Google password.
  • Marketing subscriptions: your email address and subscription preference.
  • Payment gateway requests: order references, amounts, currencies, payment identifiers, payment status and return destinations supplied by the originating store and payment provider. Payment details entered at checkout are collected by Mollie on its hosted checkout.
  • Technical information: request and security logs, which may include IP addresses, and website usage information such as pages visited, referral sources, browser and device type.

We receive information directly from you, from your sign-in provider when you choose to use it, and through your browser when it accesses the website. Please do not include sensitive information or student records in general enquiries. Fields marked as required are needed to process the relevant request; without them we may be unable to respond or arrange the service.

3. Why we use information and our lawful bases

  • To respond to enquiries and discuss services: to take steps at your request before entering a contract, or our legitimate interest in responding to business contacts.
  • To manage accounts and provide agreed services: to perform our contract, or our legitimate interest in administering an organisation’s relationship with us.
  • To route payment requests and verify payment status: to perform the relevant contract or our legitimate interest in facilitating payments for the originating store. The store’s own privacy notice also applies to its handling of your order.
  • To send updates you subscribe to: your consent. You can withdraw this at any time by emailing us, without affecting the lawfulness of earlier use.
  • To maintain, secure and understand use of the website: our legitimate interests in operating a reliable website, preventing abuse and improving its content.
  • To meet legal obligations and handle disputes: compliance with applicable law and our legitimate interest in establishing or defending legal claims.

We do not use these website forms to make solely automated decisions that have legal or similarly significant effects on you.

4. Who receives information

Information is handled by people who need it to respond to your request or operate our business, and by suppliers providing website hosting, database storage, authentication, email and technical support. This website uses Vercel for hosting and web analytics and offers Google sign-in. Providers may also process information under their own privacy notices when you use their services.

For payments routed through our gateway, we send the amount, currency and order reference to Mollie and retrieve payment status to return to the originating store. Mollie handles its checkout under its own Privacy Policy.

We may share information with professional advisers, regulators or public authorities where necessary for legal obligations or legal claims. We do not sell personal information.

5. International processing

Technology providers may process information outside the United Kingdom. Where a restricted international transfer is needed, applicable data protection law requires an appropriate basis, such as UK adequacy regulations or approved contractual safeguards. Contact us for information about the locations and safeguards relevant to your information and how to obtain a copy.

6. How long we keep information

We retain enquiry and registration information for as long as needed to respond, follow up and maintain any resulting customer relationship. Retention depends on whether the enquiry remains active, whether a service agreement follows, and any legal or dispute-related need to retain the record.

Account information is retained while the account is needed, subject to legal and security requirements. Marketing details are kept until you withdraw your subscription or they are no longer needed; a minimal record of your objection may be retained to avoid contacting you again. Technical records are retained according to operational and security needs. Information that is no longer required is deleted or anonymised.

7. Cookies, browser storage and external services

Sign-in uses cookies to manage sessions, protect requests and remember the sign-in destination. These support the authentication service you request. Browser storage also remembers display preferences, and the localConsent cookie records that you have dismissed our cookie notice. You can clear cookies and storage through your browser settings; blocking sign-in cookies may prevent authentication from working.

We use Vercel Web Analytics to understand aggregate website usage. It operates without analytics cookies. See Vercel’s analytics privacy information for details.

The contact page offers a link to Google Maps. Opening it takes you to Google, whose own privacy and cookie policies apply. External services you choose to use, including Google sign-in, may receive your IP address and browser information.

8. Your rights and marketing choices

Depending on the circumstances, you may ask to access, correct or delete your information, restrict its use, or receive a portable copy. Where we rely on consent, you can withdraw it at any time.

You can object at any time to direct marketing. You can also object, for reasons relating to your circumstances, to processing based on legitimate interests.

To exercise a right or unsubscribe, email info@fine-tech.co.uk or write to our registered office. We may need to verify your identity. We normally respond within one month, subject to any extension or exception allowed by law.

9. Complaints and updates

Please contact us if you are concerned about how we handle your information. You may also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

We may update this policy as the website or our practices change. The date at the top shows when it was last updated.
